Hotels Companies regularly acquire hotels from other companies in its normal business process. In order to accommodate guests that have reservations with these hotels, reservations need to be transferred from the existing reservation system to new hotel brand’s reservation system.
Solution
eTac Consulting worked with multiple hotel business teams, to develop a web-based input application to collect reservation information from originating hotels, and a Virtual Robot to input that reservation data into the hotel’s central reservation system.

Emails concerning sales leads were often sent to a sales team that did not work in the correct region or to individual contacts that are no longer current employees. It would then sit in someone’s inbox, sometimes so long it became out of date and stale, before being forwarded on to the correct salesperson it should have been with all along.
Solution
eTac Consulting worked with this sales department to create automation that opens emails, reads the subject, contents, and attachments, and forwards the email directly to the correct department based upon the information the email contains. The automation utilizes a customizable routing system to send the email straight to the appropriate person in the appropriate region in a timely manner.

Challenge
Due to the large number of hotels managed by this hotel brand, any enterprise wide change that affects hotel data, requires a huge effort. Mass updates for hotel guarantee/ cancellation policies, room rates, or display orders would require 100s of temporary employees for a significant amount of time to manually modify the data in the central reservation system.
Solution
eTac Consulting Robots ingest the mass amounts of data provided by the hotel company and feed it directly into the central reservation system, automating 100% of the back-end processes, massively reducing headcount, but even more crucially, reducing turn times and making the business more responsive. The department tasked with the mass updates provided them at a lower cost and in a shorter time period thanks to eTac Consulting (dba BPS) Virtual Robots.

Challenge
An oil and gas company regularly receives scanned PDF reports including data on their well sites. This data would then need to be manually input into WellView, a proprietary application used to maintain data across well sites.
Solution
The oil and gas company partnered with Full Circle Data Services and eTac Consulting to automate the reading and the logging of well data. Full Circle Data Services mapped out all fields from the reports to WellView. eTac Consulting created a Virtual Robot utilizing OCR (Optical Character Recognition) to read the reports, record the relevant data, and enter it into WellView.

Challenge
The group sales division of a major hotel chain received group sales leads from multiple sources. To be as competitive as possible, the timing of routing these leads to the appropriate hotel or sales department is of utmost priority. When the sales representatives received phone calls to an 800 number for these leads, often time was limited to provide the data to the appropriate department before the next call came in. This led to missing sales because leads were not sent in a timely manner.
Solution
Creating a web form to collect data, the data was then routed directly into the company’s Sales application and routed to the correct sales organization to respond appropriately. Additionally, some of the data was also routed to an external sales lead application to all lead provider and hotels to monitor the progress and result of the sales lead.

Challenge
FSMB (Federation of State Medical Boards) supports America’s state medical boards in licensing, disciplining and regulating physicians and other healthcare professionals. To do this part of the process is verification of the education of physicians. One of their manual processes is to compare data in a PDF to an external website before moving the application forward in the approval process.
Solution
In the FSMB internal application, automation was created to select records that have PDFs from DocuSign. The PDFs were open, data read and temporarily saved. Two external applications are opened and used to verify the saved data and data in these applications match. If they match the, the record is moved to the next queue in the workflow. If not, the records are manually sent back to submitter for further information.

Challenge
New Tex Water Hauling company serves many oil well sites around Texas. To accommodate their clients, their accounting department input the same data into their accounting system, Quick Books, as well as a common invoicing application in the oil and gas industry, Open Invoice.
Solution
Automation was created that reads completed entries from QuickBooks and saves it into the appropriate fields in Open Invoice.
Results
An average of 900 invoices are processed on a monthly basis freeing up multiple employees for hours a week.
